Summary of the role
The Office Support Partner role is an exciting opportunity to support the Facilities, Applied Sciences and People and Culture teams. In this full-time position, you’ll support the various teams during their busy times which will include, but not be limited to; company events, providing reception cover and arranging training.
To provide the best support to visitors and colleagues, the hours for this role are between 08:00 – 16:30. You must be available to work in the office Monday to Friday. Due to the nature of the role, having your own transport is essential to be able to assist with collecting catering when necessary.
The role may occasionally involve supporting evening events, so a flexible approach to working in the evening (approximately once a quarter) will be required – we want work to work for you and will give you as much notice as possible and encourage you to take the time back when it’s mutually suitable.
This position reports to the Head of People and Culture.
What can you expect?
Reception
- Serving as the primary contact for incoming calls, visitors and general enquires
- Issuing security passes to visitors, contractors and colleagues
- Assisting with setting up meeting rooms for internal and external meetings and events
- Sorting mail and processing deliveries
- Cleaning coffee machines (daily when required)
- Checking and re-stocking kitchen (when required)
Facilities
- Liaising with external partners to co-ordinate and support visits to Lhasa’s offices
- Administration and organisation of external visitors e.g. parking, meeting room bookings
- Leading the organisation of internal and external events, to include room booking and set up/clear down, ordering catering, (and collection when required), parking allocation when necessary
People and Culture
- Screen CVs against job descriptions, share suitable applicants with hiring teams, and decline unsuccessful applications.
- Schedule interviews, coordinate diaries, send invitations, update the recruitment system, and compile feedback.
- Manage the onboarding process for new employees, including issuing contracts, obtaining references, completing righttowork checks, and creating system accounts.
- Assist with employee benefits administration, including managing joiners and leavers for healthcare schemes and private medical insurance.
- Arrange occupational health appointments.
- Coordinate training requirements, including liaising with external providers, booking meeting rooms and inviting attendees
- Review People & Culture processes with the aim of identifying opportunities to automate or integrate AI solutions where appropriate.
Skills and attributes
- Demonstrable experience in PA and/or reception duties
- Strong written and communication skills for interacting with internal colleagues, external partners, visitors, and contractors.
- Experience in organising and co-ordinating internal and external events, including booking meeting rooms, managing catering, and ensuring logistics run smoothly.
- Flexibility to adapt to last-minute changes or challenges, particularly with event planning and support
- Ability to manage multiple tasks, events, and responsibilities simultaneously while staying organised
- Ability to prioritise workloads effectively to ensure deadlines and tasks are met in a timely manner
- Attention to detail
- Able to work well in a team and on your own
- Willingness to be flexible and adaptable
- Good knowledge of Microsoft Office programs
- Ability to handle sensitive information, especially when supporting interviews, onboarding, and other People and Culture-related tasks, with discretion and professionalism
- Experience implementing AI or process automation (desirable).
